Screen, interview and decide
Use AI to sort applicants and prepare for interviews. You decide who moves forward, every time.
Candidate stages
Each candidate moves through stages. Moving someone is always your action, and every move can be reversed.
| Stage | Meaning |
|---|---|
| Applied | They submitted an application. |
| Screening | You are reviewing them. |
| Interview | They are being interviewed. |
| Hired | You chose them. This starts onboarding. |
| Rejected | You decided not to proceed. |
| Not selected | The openings were filled. This is not a rejection. |
| Declined | The hire turned down the offer. |
Rank by match
Each applicant is scored against the role's requirements as a percentage with a one-line summary, color-coded so strong matches stand out. Use Rank by match or sort by Best match to bring the top candidates to the front.
- A score is a guide for sorting, not a decision.
- If you edit the requirements, older scores are marked outdated.
- Open a candidate to see their resume, parsed profile, interviews and timeline before you decide.
Schedule an interview
- 1
Open the candidate
Choose the candidate you want to interview. - 2
Schedule the interview
Pick the round, the date and time, and paste your meeting link from Google Meet, Zoom, Teams or any other tool. - 3
Let Onboardila notify them
The candidate is emailed an invite with the time, time zone and your link, then reminders 24 hours and 1 hour before.
Interview guides
Open Interview guides on the role to have AI draft questions for each round from the role itself. Edit or replace them. You can also tailor a guide to one candidate, and those edits stay with that candidate.
Interview Copilot
Copilot is an AI notetaker that joins your meeting at its start time, transcribes the conversation and prepares a report after the call. You still run the interview and make the assessment.
- It joins under Onboardila's own name, which is also the notice to the candidate that the call is recorded.
- If it is waiting in the lobby, you get a nudge to let it in.
- The transcript and report appear on the candidate's record. The report is reference material, not a decision.
Hire or reject
- 1
To hire
Move the candidate to Hired. Their onboarding is created from the flow chosen for the role, with name and email filled in. Continue in Send, review and approve. - 2
To reject
Move the candidate to Rejected. They receive a rejection email. Rejected candidates stay visible under the Rejected tab.
Feedback for rejected candidates
Candidates who had an interview and were then rejected get a link in their rejection email to request feedback, once. It is written with AI from your interview notes and the role's competencies, never states a reason for the decision, and says it was written with AI.
Under Settings, Recruitment, turn it on or off and choose whether it sends automatically or waits for HR to review it first.
