Build an onboarding flow
A flow joins a form, your document templates and a welcome board. Set it up once, and every hire goes through it.
What a flow is made of
- A form: the questions a new hire answers. It supports 20+ question types, including file upload and signature.
- Document templates: offer letters, NDAs and contracts with data fields that are filled for each hire.
- A welcome board: the branded page a hire lands on after approval, built from blocks in a visual editor.
Fastest way to start
Describe the hire in the AI assistant, for example "a remote support engineer starting next month". It drafts the form, document templates and welcome board for you to review and publish.
Create a flow
- 1
Open Onboarding flows
Choose Onboarding flows in the sidebar, then New Onboarding Flow. - 2
Flow details
Name the flow and select the form a new hire will fill in. - 3
Documents
Add the document templates to generate for each hire, and map their fields. See below. - 4
Welcome Board
Turn on Enable Welcome Board and choose the board hires see after approval. - 5
Workflow Review
Check the whole flow in one place before you go live. - 6
Publish
A flow that is not published cannot be sent to a hire. If something needs fixing, you are told what before you can publish.
Build the form
Forms are built in the form builder under Forms. Add questions, mark which are required and reorder them. Include a file upload or signature field wherever the hire needs to provide one.
Forms are in Beta
The forms area is marked Beta in the sidebar. Freemium includes 3 forms and paid plans include unlimited.
Add document templates
- 1
Create a template
Open Documents and create a template from your offer letter, NDA or contract. - 2
Add data fields
Place fields where information should appear, such as the hire's name, start date or salary. - 3
Map each field once
In the flow's Documentsstep, connect each template field to its source: an answer from the employee's form, an HR Input Field, or a System Field generated automatically by Onboardila. After this, every submission fills the document automatically.
HR-only values stay private
Values such as salary, start date and manager are entered by you when starting the onboarding. They never appear on the hire's form, and they flow straight into the generated documents.
Unmapped required fields
If a required template field has no source, the flow lists it under "Fix these issues before publishing". Map it, then publish.
Build the welcome board
Open Welcome Boards and choose New Welcome Board. Add blocks for team introductions, a first-day checklist and company resources, and style it with your brand kit. The hire sees it after you approve their onboarding.
