Send, review and approve
Start an onboarding for a hire, send one link, then review and approve what comes back.
Start an onboarding
There are two ways in.
- From a hire:move a candidate to Hired. The onboarding is created from the role's flow with their name and email filled in. You can switch the flow at that moment.
- On its own: open a published flow and choose Start Onboarding to onboard someone you did not recruit through Onboardila.
Then fill in the HR-only offer details, such as salary, start date and manager. They are kept separate from what the hire writes.
Send the link
- 1
Set a deadline (optional)
Choose how long the hire has to respond. - 2
Send the invitation
The hire receives one link. It works on any device and needs no account. - 3
Manage the offer
Use Edit offer details to correct values, extend the deadline, or revoke the invitation. The link to share is also shown on the record under Onboarding link.
Reminders
If the hire has not accepted, they are reminded on day 3 and day 7. An offer past its deadline expires.
What the new hire does
- Opens the link, completes the form and reviews and signs the documents generated from your templates, in one sitting.
- Can message HR from the link with a question before accepting, or decline the offer.
A question appears on the record as Question before accepting, so you can answer it.
Review the submission
Open the onboarding from Records, or from its flow. The record has tabs for Details, Form Responses, Documents and Activity, so you can see exactly what was submitted and what happened and when.
- 1
Read the answers
Check the form responses and the generated documents. - 2
Approve, or request changes
Approve when it is correct. If something is wrong, request changes with a note instead of starting over. - 3
The hire corrects and resubmits
They see what needs fixing, update it and send it back. It returns to Awaiting review, and you can repeat this as often as needed.
Nothing is final until you approve
A submission waits in Awaiting review until you act on it. The record keeps the full history.
After approval
- The final signed documents are generated and stored.
- The record is marked complete.
- The new hire gets access to their branded welcome board.
